How a Dental Office Automates Scheduling and Phones With AI

Missed calls and after-hours calls are where front offices lose new patients. AI receptionists answer around the clock and book appointments, but only roll one out once the HIPAA paperwork is in place.

1Weave AI ReceptionistPractices that want phones, texting and AI in one platformPlatform from $199/mo; AI price not published (Weave)
2AriniA dedicated dental AI phone agent with PMS integrationNot published; demo/quote (CloudTalk, checked Oct 9, 2026)

Why Weave first: It answers calls, texts and chats 24/7, captures appointment requests, and books directly into qualified dental PMS (Weave). If you already use Weave phones, it’s the simplest to add.

Step 1: HIPAA first. Get a signed BAA

Call recordings, transcripts and texts that contain patient information are PHI, so you need a written Business Associate Agreement with every vendor that handles them. Confirm the BAA covers the AI agent, recordings, transcripts and texting specifically (CloudTalk guide). Weave publishes a BAA. For Arini, a third-party review notes its Dentrix guide says a BAA is signed before integration (same source). Get it in writing either way.

Step 2: Map your call types

For two weeks, log why patients call: new patient, reschedule, insurance question, billing, emergency. Let AI take the routine calls and route the rest to staff.

Step 3: Decide what AI can book

With Weave, direct booking only works with qualified dental PMS. Otherwise the AI captures requests for your team to confirm (Weave). Start with “capture and confirm,” then allow direct booking once you trust it.

Step 4: Write the scripts and escalation rules

Give the AI your hours, the insurance plans you accept, and your new-patient process. Emergencies always go to a human or the on-call line. Never let the AI give clinical advice.

Step 5: Pilot after hours only

Run it only after hours for 2–4 weeks. Review every transcript weekly for mistakes and missed escalations.

Step 6: Expand, then measure

Add overflow during business hours. Track answered vs. missed calls, new-patient bookings and staff time, compared with your baseline. Arini’s own guidance suggests asking vendors about hidden costs like SMS overages and integration fees (Arini).

Vendor question list

  • Will you sign a BAA covering AI, recordings, transcripts and SMS?
  • Is our PHI ever used to train models for other clients?
  • Which PMS do you write appointments back to?
  • What’s the full price, including overages and integration fees?
  • How does it escalate emergencies?
