During tax season, chasing documents takes more time than preparing returns. Automate collection before January.
Ranked picks for intake
| Rank | Tool | Best for | Verified pricing |
|---|---|---|---|
| 1 | StanfordTax | Intake organizers and workpapers for 1040/1120/1120S/1065 | Free for 5 returns, then $18/return; custom plan $25+/return (StanfordTax) |
| 2 | TaxDome | All-in-one portal with IRS transcript integration | Reported $800–$1,200/seat/yr; check live page (TaxDome, LeapScope) |
| 3 | Financial Cents | AI file renaming and validation for small firms | Solo $19/mo (Financial Cents) |
Step-by-step setup
- Segment clients (W-2 only, Schedule C, rental, entity) so each group gets the right questionnaire.
- Build the intake organizer in StanfordTax or your portal. Because StanfordTax is free for up to 5 returns, you can test the whole flow on real clients before paying (StanfordTax).
- Auto-name uploaded files. Financial Cents’ AI File Renaming applies your naming convention, and AI File Validator checks that clients uploaded the right document (Financial Cents). TaxDome offers AI document tagging and renaming too (LeapScope), which helps when “hundreds of client uploads arrive with names like scan001.pdf.”
- Pull transcripts. TaxDome’s pricing page lists an IRS integration on its plans above Essentials, which that download transcripts directly to client accounts (TaxDome).
- Automate reminders. Set a gentle-then-urgent schedule. Karbon’s automatic reminders stop after the fifth (review).
- Draft client emails with AI, inside an approved tool and with no client identifiers unless your policy allows it.
- Secure everything. Portals beat email attachments. Make sure MFA is on, as the FTC Safeguards Rule requires (IRS Pub 4557).
Pre-season checklist
