Automating Month-End Close with AI: A Step-by-Step Playbook

Month-end is where AI saves the most repetitive work: matching, coding, chasing missing documents, and checking the books are ready. Here’s a workflow you can pilot this month.
Step 1: Standardize before you automate
Pick 3–5 clients with clean bank feeds on the same ledger. Write down your current close checklist and how long each step takes, so you have a baseline to compare against.
Step 2: Turn on ledger reconciliation AI
- Xero: JAX’s Auto Bank Reconciliation matches high-confidence transactions in real time and explains every match. Exceptions stay with you. Xero reports more than 100 million transactions auto-reconciled (vendor figure). The feature is labeled beta and rolling out gradually, and is reported to require Xero’s Growing or Established plan (review) (Xero).
- QuickBooks Online: Intuit says AI features can’t currently be turned off one by one, so your review is the control (Intuit). Accounting AI handles suggested categorization and matching plus anomaly detection, and asks the client about unclear transactions (Intuit).
- Both: If coding volume is high, Booke AI codes bank feeds daily and sends low-confidence items to your team (LeapScope).
Control: Review every exception, and spot-check a sample of auto-matched items each month.
Step 3: Automate document collection
Route receipts and bills into Dext or Hubdoc so the source documents are already attached before close (Karbon roundup). Use the same supplier rules across clients.
Step 4: Automate chasing for missing items
- In Karbon, client requests are on all plans, and automatic reminders are on Business and above. Reminders can run on a gentle or urgent schedule (review).
- In Financial Cents, client requests are on every plan, and automatic follow-ups start on Scale (same source).
Step 5: Use an agent for journals (when available)
Xero’s XeroForce month-end agent template is designed to review reconciliation status through to manual journals for prepayments and amortization, then present its actions for you to accept. It was in early access as of August 2026 (Xero). Treat it as a pilot, not something to depend on yet.
Step 6: Review and sign off
A person reviews the variance analysis and adjusting entries, and signs off. Use your general assistant, under your AI policy, to draft the client summary email from the reports. Never let it post entries.
Step 7: Measure after 2 closes
Compare against your Step 1 baseline: hours per client, exceptions, and client response time. Expand only if the numbers improved.
